Terms of Service
These Terms govern your organization's use of GCReq365. In short: GCReq365 is software that collects, reads and tracks subcontractor compliance documents. AI extracts information, your configured project rules determine each status, and people review anything uncertain. It does not give legal or insurance advice, and you remain responsible for your decisions. Payments are processed by a third-party payment provider.

1.About these Terms
These Terms of Service (the “Terms”) govern access to and use of GCReq365, including its website, web application, submission links, email intake and related services (together, the “Service”).
GCReq365 is operated by Jisan Nuren Siam, an individual sole proprietor based in Bangladesh (“GCReq365”, “we”, “us” or “our”).
“Customer” or “you” means the company or other organization that creates a GCReq365 workspace or subscribes to the Service, and, where the context requires, the individual using the Service on its behalf. If you accept these Terms for an organization, you confirm that you have authority to bind it, and “you” refers to that organization.
By creating an account, starting a trial, subscribing, or otherwise using the Service, you agree to these Terms, our Privacy Policy and our Refund Policy. If you do not agree, do not use the Service.
2.Eligibility, accounts and workspaces
The Service is intended for businesses, in particular commercial general contractors and their teams. It is not designed for personal, family or household use. You must be at least the age of majority where you live and able to enter into a binding contract.
- Provide accurate account and organization information and keep it up to date.
- Keep your sign-in credentials confidential. You are responsible for activity that occurs under your account and in your organization's workspace.
- Workspace owners and administrators decide who is invited and which role each person has. Owners are responsible for the organization's subscription and billing settings.
- Remove access promptly for people who should no longer have it, and tell us at support@gcreq365.com if you believe an account or workspace has been accessed without authorization.
3.What the Service does
GCReq365 is document-management and compliance-tracking software. It helps you collect subcontractor compliance documents (for example certificates of insurance, workers' compensation certificates, contractor licenses, W-9 forms and signed agreements) through uploads, secure submission links and email intake; read those documents; track them against the requirements you configure for each project; route uncertain results to people for review; and send reminders about missing or expiring documents.
AI-assisted extraction
The Service uses artificial intelligence (“AI”) to classify documents and extract details such as names, policy numbers, dates and coverage amounts, each with a confidence score. AI output can be incomplete or wrong, including when a document is unclear, unusual, altered or poorly scanned. Results that are low-confidence or conflicting are sent to a review queue so that a person can compare them with the original document and approve, correct or reject them.
Deterministic compliance tracking
The AI does not decide whether a requirement is met. Each requirement's status is calculated by software rules applied to the requirements you configure (for example which documents are needed, expiration dates and minimum coverage amounts) and to the document information available in your workspace. A status therefore reflects only your configuration and the information in the Service. A “Valid” requirement status, or an “All satisfied” overall status, means that a requirement — or each required requirement — appears satisfied under your configured project rules and the available documentation; it is not a certification of any kind.
The Service does not independently verify documents with insurers, brokers, licensing authorities, tax authorities or any other third party.
4.No legal, insurance or professional advice
GCReq365 provides software tools only. Nothing in the Service, including any status, extraction, reminder, summary or other output, is legal, insurance, tax, regulatory, risk-management or other professional advice, and nothing in it is a certification, opinion or determination that any person, document, policy or project meets any legal, contractual, insurance or regulatory requirement.
You should consult qualified professionals (for example your attorney, insurance broker or risk adviser) about what your contracts, projects and applicable laws require, and about whether a particular document is sufficient.
5.Human review and your decisions
You remain solely responsible for:
- the requirements and rules you configure, and keeping them accurate for each project and contract;
- reviewing documents and extracted information, and resolving items in the review queue;
- every business decision you make using the Service, including whether to engage, pay, allow on site or take any other action regarding a subcontractor; and
- complying with the laws, contracts and insurance obligations that apply to you and your projects.
You should not rely on the Service as the only safeguard for decisions with legal, financial or safety consequences, and you should keep appropriate independent records and processes.
6.Your content and data
“Customer Content” means the documents, files, information and other material that you, your team, or your subcontractors through your submission links or intake address, submit to the Service, together with the information extracted from or created about them in your workspace (such as extracted fields, review corrections and project configuration).
- Ownership. As between you and us, you retain ownership of your Customer Content. These Terms do not transfer ownership of it to us.
- Permission to process. You grant us a non-exclusive, worldwide, royalty-free permission to host, store, copy, transmit, display and process Customer Content, including through AI and other service providers acting for us, only as needed to provide, secure, support and maintain the Service for you, to comply with law, and as described in our Privacy Policy.
- Your authority. You confirm that you have all rights, permissions and authority needed to submit Customer Content and to have it processed as described in these Terms, and that you have given any notices and obtained any consents required by law or contract, including for personal information about subcontractors, their employees and other individuals that appears in documents or contact details.
- Sensitive information. Some compliance documents (for example W-9 forms) can contain sensitive identifiers such as taxpayer identification numbers. Submit only documents you need for your compliance process, and do not use the Service to store information unrelated to that purpose.
- Accuracy. You are responsible for the accuracy, quality and legality of Customer Content and for how you use it.
7.Submission links, email intake and reminders
The Service lets you share secure submission links and an email intake address with subcontractors, and sends reminder emails to the contacts you enter. Anyone who has a valid submission link, or who emails your intake address, can submit documents to your workspace, so share them only with intended recipients and revoke or rotate them when needed.
Reminders and other messages to subcontractors are sent on your behalf and at your direction. You are responsible for the recipients you choose, for having an appropriate basis to contact them, and for the requirements those messages describe.
8.Acceptable use
You may use the Service only for your internal business purposes of managing subcontractor compliance documentation, in accordance with these Terms and applicable law. You must not, and must not allow anyone else to:
- submit content you have no right to submit, or content that is unlawful, fraudulent, forged or misleading;
- upload malware or any file intended to harm, probe or disrupt the Service or anyone's systems;
- attempt to access another organization's workspace or data, or bypass authentication, access controls, rate limits or plan limits;
- use submission links, intake addresses or reminders to send spam or unsolicited messages unrelated to your compliance process;
- scrape, copy, reverse engineer or decompile the Service, except to the extent applicable law expressly permits this despite this restriction;
- resell, sublicense or provide the Service to third parties as a service bureau, or use it to build a competing product;
- interfere with the Service's operation or impose an unreasonable load on its infrastructure; or
- use the Service in violation of export-control, sanctions or other applicable laws.
9.Subscriptions, trials, renewal and taxes
Plans. Self-service plans (currently Starter, Growth and Pro) are monthly subscriptions priced in US dollars. Plans differ by scale limits such as active projects, active subcontractors and team members. The current prices and limits are shown on our website and at checkout. Enterprise plans are quote-based and may be governed by a separate written order or agreement, which controls if it conflicts with these Terms.
7-day trials. Self-service plans may offer a 7-day introductory trial for eligible new businesses using a business email address. We decide trial eligibility, and trials are limited to one per business. A payment method is required to start a trial. The trial runs on the plan you choose, with that plan's limits, and includes up to 30 AI document processing runs. There is no permanent free plan.
Automatic conversion and renewal. Unless you cancel before the trial ends, your subscription automatically converts to the paid plan when the trial ends, and your payment method is charged that plan's monthly price plus applicable taxes. After that, your subscription renews automatically each month and is charged in advance for each billing period until you cancel.
Taxes. Prices exclude applicable taxes, such as sales tax, VAT or GST. Applicable taxes are calculated and collected at checkout and on renewal by our payment provider, based on the information you provide.
Plan changes. When you change plans after a trial has converted, the change takes effect immediately and our payment provider calculates any prorated charge or credit for the rest of the billing period.
Failed payments. If a payment fails, our payment provider may retry it. If a subscription becomes past due, paused or canceled, access to the Service may be limited until the account is brought up to date.
Price changes. We may change our prices or plans. Changes to the price of an existing subscription will apply from a future billing period, and we will give you reasonable advance notice so that you can cancel before the change applies.
10.Payment processing
Subscription payments are processed by a third-party payment provider. Depending on the provider, it may act as reseller or Merchant of Record for your purchase; where it does, it sells the subscription to you, processes your payment, calculates and collects applicable taxes, and issues invoices and receipts, and your purchase is also subject to its own buyer terms, which are presented at checkout. The provider for your purchase is identified at checkout and on your receipt.
Payment card and other payment details are entered into the payment provider's checkout and managed in its billing portal. We do not receive or store your full card details. We receive limited billing information from the payment provider, such as subscription status, plan, billing dates and the provider's identifiers, so that we can provide the plan you purchased.
11.Cancellation
A workspace owner can cancel a subscription at any time through Manage billing on the Billing page, which opens our payment provider's billing portal, or by contacting us at support@gcreq365.com. Cancellation takes effect at the end of the current billing period or, during a trial, when the trial ends. You keep access until then and are not charged for later periods. Cancelling during a trial means the trial does not convert and you are not charged the subscription fee.
Cancellation stops future charges; it is not a refund. Fees already paid are handled under our Refund Policy.
After a subscription ends, your workspace may become restricted (for example read-only), and features that create or change records may be unavailable. Ending a subscription does not by itself delete your workspace or Customer Content; see the retention section of our Privacy Policy.
12.Refunds
Refunds are governed by our Refund Policy, any applicable buyer terms of our payment provider, and any rights you have under applicable law that cannot be excluded by contract.
13.Intellectual property
The Service, including its software, design, text, graphics, logos and the GCReq365 name, and all related intellectual property rights, belong to us or our licensors. Subject to these Terms and payment of applicable fees, we grant you a limited, non-exclusive, non-transferable, revocable right to access and use the Service for your internal business purposes during your subscription or trial. No other rights are granted.
If you send us suggestions or feedback, we may use them without restriction or obligation to you. This does not give us ownership of your Customer Content.
14.Third-party services
The Service relies on third-party providers, for example for payments, sign-in and authentication, hosting and storage, email delivery and AI document processing. Their services may be subject to their own terms. We are not responsible for third-party services we do not control, but we choose providers to help us operate the Service and describe how information is shared with them in our Privacy Policy.
15.Changes to the Service and availability
We work to keep the Service available and reliable, but we do not promise that it will be uninterrupted, timely or error-free. The Service may be unavailable from time to time because of maintenance, updates, failures of third-party providers, or events outside our reasonable control. Reminder emails, AI processing and email intake depend on third-party services and may be delayed or fail.
We may add, change or remove features. If we make a change that materially reduces the core functionality of a paid plan during your subscription, we will give you reasonable notice where practicable, and you may cancel as described above.
16.Suspension and termination
You may stop using the Service and cancel your subscription at any time. We may suspend or limit access to the Service, in whole or in part, if we reasonably believe that you or your users have materially breached these Terms, that your use creates a security, legal or operational risk for the Service or others, that payment is overdue, or that suspension is required by law. Where reasonable, we will tell you the reason and give you an opportunity to fix the issue first.
We may terminate these Terms or your access to the Service for a material breach that is not cured after notice, for repeated or serious breaches, or if we stop offering the Service, in which case we will give reasonable advance notice where practicable. Sections that by their nature should survive termination (including those on Customer Content, intellectual property, disclaimers, limitation of liability, governing law and general terms) survive.
17.Disclaimer of warranties
To the maximum extent permitted by applicable law, the Service is provided “as is” and “as available”. We disclaim all warranties and conditions, whether express, implied or statutory, including implied warranties of merchantability, fitness for a particular purpose, title, non-infringement and accuracy. Without limiting the above, we do not warrant that AI extraction or any status will be accurate or complete, that documents submitted to the Service are genuine or sufficient, or that use of the Service will satisfy any legal, contractual, insurance or regulatory obligation. Some jurisdictions do not allow certain warranties to be excluded, so some of these exclusions may not apply to you.
18.Limitation of liability
To the maximum extent permitted by applicable law:
- we will not be liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for any loss of profits, revenue, business, goodwill or data, or for costs of substitute services, arising out of or relating to the Service or these Terms, even if we have been advised of the possibility of those damages; and
- our total aggregate liability for all claims arising out of or relating to the Service or these Terms will not exceed the greater of (a) the amount you paid for the Service during the twelve (12) months before the event giving rise to the claim, or (b) US$100.
These limitations apply whatever the legal theory of the claim. Nothing in these Terms limits or excludes liability that cannot be limited or excluded under applicable law, such as liability for fraud or, where applicable, for death or personal injury caused by negligence.
19.Your responsibility for claims
To the extent permitted by applicable law, you will defend, indemnify and hold us harmless against third-party claims, and related losses and reasonable costs, arising from your Customer Content, your use of the Service in breach of these Terms or applicable law, or decisions you make using the Service.
20.Governing law and disputes
If you have a concern or dispute about the Service, please contact us first at support@gcreq365.com. We will try in good faith to resolve it informally, and you agree to give us a reasonable opportunity to do so before starting formal proceedings.
These Terms and any dispute arising out of or relating to them or the Service are governed by the laws of Bangladesh, without regard to conflict-of-laws rules. Subject to the next sentence, the courts of Bangladesh will have jurisdiction over such disputes. Nothing in this section deprives you of the protection of mandatory laws of the country where you are located, or of any right you have under those laws to bring proceedings in your local courts.
Disputes about payments, charges or refunds processed by our payment provider may also be subject to that provider's buyer terms.
21.Changes to these Terms
We may update these Terms from time to time. We will post the updated version on this page and change the “last updated” date above. If a change is material, we will give reasonable advance notice, for example by email to the workspace owner or by a notice in the Service. Changes apply from their effective date; if you continue to use the Service after that date, the updated Terms apply. If you do not agree to a change, you may cancel your subscription before it takes effect.
22.General
- These Terms, together with the Privacy Policy, the Refund Policy and any written order or agreement for an Enterprise plan, are the entire agreement between you and us about the Service.
- If any provision is found unenforceable, the rest of these Terms remain in effect.
- Our failure to enforce a provision is not a waiver of our right to do so later.
- You may not assign or transfer these Terms without our prior written consent. We may assign them in connection with a transfer of the Service or its business, with notice to you.
- We are not liable for delays or failures caused by events beyond our reasonable control.
- We may send notices to the email address associated with your account; you may send notices to support@gcreq365.com.
