Stop Chasing Subcontractor Compliance Documents.
GCReq365 automatically collects, extracts, tracks, and follows up on subcontractor compliance documents—so your team spends less time in spreadsheets and email.
AI reads the documents
Names, policy numbers, dates and coverage amounts are pulled from each file, with a confidence score.
Software applies your rules
Each requirement's status comes from the rules you set for the project — never from the AI.
People resolve uncertainty
Anything unclear goes to your review queue, beside the original document.
The problem
Compliance paperwork shouldn't take over the week
Commercial GCs track COIs, workers' comp, licenses, W-9s and signed agreements for every subcontractor on every project. The work is simple. The volume isn't.
Chasing documents by email
Certificates arrive as attachments, portal uploads and paper — and someone has to keep asking for the ones that don't.
Tracking in spreadsheets
A spreadsheet can't tell you which requirement a new file covers, or that a policy lapsed mid-project.
Expirations slip through
Dozens of policies renew on different dates. Missing one is easy; finding out late is expensive.
Reading every PDF by hand
Someone opens each certificate and compares limits and dates against each project's requirements.
How it works
From inbox to audit trail in five steps
GCReq365 does the collecting, reading and tracking. Your rules make the call, and your team handles the exceptions.
- 1
Collect
Subcontractors upload through a secure submission link — no account needed — or email documents to your intake address. Your team can upload too.
- 2
Extract
AI reads each document and pulls out names, policy numbers, dates and coverage amounts, with a confidence score.
- 3
Apply rules
GCReq365 checks every requirement against the rules you configured for that project: document, expiration and minimum coverage.
- 4
Review uncertainty
Low-confidence or conflicting results go to your review queue. A person compares them with the original and approves or corrects them.
- 5
Follow up
Missing and expiring documents trigger reminders to subcontractors, and every step is recorded in the activity history.
Green means one thing: the requirement appears satisfied based on configured project rules and available documentation. It is not a legal certification.
What your team gets
The whole compliance workflow, in one place
Everything below is included in every plan.
Document collection
Secure submission links, email intake and uploads. PDF, PNG and JPEG files up to 20 MB.
AI extraction
Certificates of insurance, workers' compensation certificates, contractor licenses, W-9s and signed agreements.
Rule-based status
Green, yellow or red for each subcontractor on each project, with the reason and the document behind it.
Human review queue
Extracted values side by side with the original file. Corrections are saved with the review.
Expirations and reminders
Reminders before documents expire and when required ones are missing. They stop once a valid document arrives.
Projects and subcontractors
Per-project requirements and assignments, and a dashboard that lists what needs attention first.
Activity history
Uploads, reviews, approvals, status changes and reminders — who did what, and when.
Team access
Invite teammates as owners, admins or members, each with clearly scoped permissions.
Trust and control
Built so you can stand behind every result
Every status can be traced to a document, a rule and — where needed — a person.
AI extracts; rules decide
The AI never sets a compliance status. The deterministic rules you configure do, and each result shows its reason.
Humans resolve uncertainty
Low-confidence extractions wait for a person. Nothing uncertain is accepted silently.
Evidence is kept
Replaced documents stay in the version history, and the activity log records every step.
Private document access
Stored files are served only to signed-in members of your company's workspace.
Role-based team management
Owners control billing and roles; admins run day-to-day work; members see what they need.

Questions buyers ask
What happens during the trial?
Starter, Growth and Pro each offer a 7-day introductory trial for new businesses with a business email. The trial runs on the plan you choose, with that plan's limits. A card is required to start it. After 7 days the subscription continues at the plan's monthly price plus applicable taxes unless you cancel. There is no permanent free plan.
Does GCReq365 decide compliance using AI?
No. AI reads the documents and extracts their details. Each requirement's status comes from the rules you configure for the project, and anything the AI is unsure about goes to a person for review. A green result means the requirement appears satisfied based on configured project rules and available documentation — it is not a legal certification.
What documents can it handle?
Certificates of insurance, workers' compensation certificates, contractor licenses, W-9s and signed subcontract agreements, as PDF, PNG or JPEG files up to 20 MB.
Can my team use it?
Yes. Invite teammates as owners, admins or members. Starter includes 3 team members, Growth 10 and Pro 25; Enterprise limits are custom.
What happens if I cancel?
Cancellation takes effect at the end of the current period (or the trial), and you keep access until then. Your records are kept after the subscription ends.
Are taxes included?
No. Prices are in US dollars and exclude applicable taxes. Paddle, our payment provider and merchant of record, calculates tax at checkout.
